This privacy notice describes how we - as a data controller - collect and use personal data about you if you are applying for a job at Genomics plc. It applies to all job applicants.
WHAT INFORMATION DO WE ASK FOR?
We need to collect, store, and use the following categories of personal data about you during the application process:
Name and contact details
Information about your previous experience and education
Recruitment information (including copies of right to work documentation, references and other information included in a CV, cover letter, or as part of the application process).
Employment records (including job titles, employment history, working hours, salary information, appraisal records, training records, professional memberships).
Application information (including interview notes and any written test records).
HOW WE WILL USE INFORMATION ABOUT YOU
We will only use your personal data for the following purposes:
Making a decision about your recruitment or appointment.
Determining the terms on which you work for us.
Checking you are legally entitled to work in the UK.
To fulfil legal or regulatory requirements as necessary.
You do not have to provide what we ask for but it might affect your application if you don’t.
HOW IS YOUR PERSONAL DATA COLLECTED?
We will collect personal data either directly from you or sometimes from an employment agency. We will contact your referees, using the details you provide in your application, directly to obtain references.
No decisions will be taken about you using automated means in the application process.
WHAT ABOUT THIRD PARTIES?
We may need to share your personal data with a regulator or to otherwise comply with the law.
TRANSFERRING INFORMATION OUTSIDE THE EU
We will not transfer the personal data we collect about you outside the EU.
We have appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data only to those involved in the hiring process at Genomics plc. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
HOW LONG WILL YOU USE MY PERSONAL DATA FOR?
We retain personal data obtained in the recruitment process for 12 months from the date when we receive your application. After this date we will securely delete all your personal data and retain only a record of the date of your application. If you are successful, and become an employee, we will retain your personal data in accordance with our standard practices, a copy of which will be provided to you.
Under certain circumstances, by law you have the right to:
Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have exercised your right to object to processing (see below).
Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal data for direct marketing purposes.
Request the restriction of processing of your personal data. This enables you to ask us to suspend the processing of personal data about you, for example if you want us to establish its accuracy or the reason for processing it.
Request the transfer of your personal data to another party.
Complain You also have the right to make a complaint (at any time) to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues.
FEE - You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee or we may refuse to comply if your request for access is clearly unfounded or excessive.
WHAT WE MAY NEED FROM YOU - We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal data is not disclosed to any person who has no right to receive it.
It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during the application process.
